SkyPod Immigration already ran Zoho CRM, with leads coming in from the website and Meta ads. In 10 business days we designed their sales process and built it into the same CRM, so every lead now has an owner, a next action and a due date.
SkyPod Immigration Consulting Inc. is an immigration consultancy in Ontario, Canada. Leads arrive every day from their website and Meta ads, and their advisors already worked in Zoho CRM Enterprise as part of Zoho One. The software was not the gap. Nothing in the CRM told an advisor who to call next, or told a manager who had been missed.
“
SkyPod's CEO, describing what he wanted. It became the spec for the whole project.
Each advisor has their own office hours and leave, and every timer runs on that advisor's business hours in Toronto time.
See the settings →Advisors log what happened. The system creates the next step, and a daily safety net catches any active lead with no task.
Try it →Status-driven chains set each due date and reminder. Pushing a date needs a reason, and every push is counted.
See the engine →Two real-time dashboards show overdue, on-time and untouched work per advisor. Every number opens the list behind it.
See the dashboards →SkyPod asked us to design the sales process, not just add fields. Before building anything we agreed four ground rules with them, and every later decision was checked against those rules.
No data migration, no clean-up project, and no breaking the workflows and blueprint the team already used.
They log the call outcome. The system decides and creates what comes next.
No duplicates and no piles. A new task only appears when the previous one closes.
Calculated per advisor, in the client's time zone, skipping holidays and leave.
The CRM was in daily use, so we built on a parallel test track of hidden status and task fields. Advisors kept working while we tested each journey live.
Lead 360 is a follow-up panel we built from scratch with the Zoho CRM JS SDK and placed on every lead page. The advisor records what happened on the call, and the engine handles the rest. Try it below: log a few outcomes and watch the follow-up track move.
Demo logic mirrors the real build in simplified form. Business hours here are 9:00 AM to 5:00 PM ET, Monday to Friday.
The engine is written in Deluge and runs on workflow rules and scheduled functions. When one task closes, the next one is created at that moment, with its due date set by the lead's status and the advisor's business hours.
First call due within the advisor's working hours plus 15 minutes. After 7 unanswered attempts the lead is tagged and flagged.
The client's chosen date and time is picked in a calendar popup. If they don't answer, two retries follow on their own.
Requirement gathered, checklist sent and documents received each get their own 3-step chain, ending in a manager flag if the client goes quiet.
Paid consultation clients are tagged permanently, even after they move to later stages, so they can always be tracked.
Moving a lead to Lost, Junk or a new stage closes its old open tasks automatically, so the task list stays one you can trust.
A scheduled check finds any active lead with no open task and creates a "Decide next step" task for its owner.
We added a settings screen inside Zoho CRM for every gap between follow-ups, office hours per advisor, holidays and advisor leave. The engine reads these settings live, so a change applies to the next task it creates. Move a slider and see.
A new lead arrives on Friday at 4:40 PM and goes to Advisor A. Here is when the engine schedules each attempt:
Two dashboards built as Zoho CRM web tabs give management the fourth clause of the rule. Every number opens the list behind it, and the data refreshes every 15 seconds while the dashboard is open, staying well within the org's daily API limit.
| Advisor | Completed: on time / late | Pushed |
|---|---|---|
| Advisor A | Low | |
| Advisor B | Medium | |
| Advisor C | Low |
Every change was tested live in SkyPod's CRM on temporary test leads, and the test data was removed afterwards. To prove a full 7-attempt chain without waiting days, we built a fast test mode that compresses business hours into minutes.
Several structured QA rounds covered both time zones. Bugs were fixed and re-tested before sign-off, and we wrote plain-language test guides so SkyPod's team could check each flow themselves.
All of it runs inside their existing Zoho CRM. No new licences, no third-party tools, no data migration.
Every active lead has exactly one open task with a due date and a reminder.
Advisors log an outcome and the system decides the next step. Nothing depends on memory.
A new lead gets 7 attempts, then a manager flag. Quiet clients in later stages are flagged too.
Overdue, on-time and untouched work per advisor in real time, down to the exact lead.
Gaps, office hours, holidays and leave are edited by the admin, not a developer.
Old tasks close themselves on status changes, so what's on the list is real work.
The engine was designed so new lead sources and channels plug into the same statuses, without rebuilding the follow-up logic.
Yes. For SkyPod Immigration, Digiwah built a Deluge follow-up engine in Zoho CRM. The advisor logs the call outcome and the engine closes the current task and creates the next one with a due date and reminder, so advisors never create follow-up tasks by hand and each active lead has exactly one open task.
In the SkyPod setup, a new lead gets a 7-attempt call chain. The first call is due within 15 minutes of the advisor's working hours and each next attempt follows a set business-hour gap. After 7 attempts with no answer, the lead is tagged as no response and flagged for the manager instead of drifting.
Yes. Digiwah added a settings screen inside Zoho CRM where the admin edits every follow-up gap, office hours per advisor, holidays and leave. The engine reads these settings live, so timings change without a developer, and every timer runs on business hours in the client's time zone.
No. SkyPod's project was built on top of the live CRM with no data migration and no clean-up. Digiwah worked on a parallel test track of hidden fields so the team kept working, tested each journey live on temporary test leads, then removed the test data.
Ten business days for Phase 1, covering process consulting, the Lead 360 widget, the follow-up engine, editable timings and two live dashboards, all inside SkyPod's existing Zoho CRM Enterprise with no new licences or third-party tools.
We design the follow-up process with you, then build it into the CRM you already use, so every lead has an owner, a next action and a due date.
