Digiwah moved ACE Spaces from spreadsheets to a connected Zoho setup in about six weeks. Leads, cabins, onboarding, e-signed agreements, walk-in bookings and accounting now run on Zoho CRM, Zoho Books, Zoho Forms and Zoho Sign, with a live 2D floor plan inside the CRM.
ACE Spaces runs coworking centres in IT City, Sector 83, Mohali, with more centres planned. Members rent private and shared cabins, buy day and week passes, book meeting and conference rooms, or take a virtual office.
A coworking sale has more moving parts than most: a site visit, KYC, a lease agreement, a specific cabin and a GST invoice every month. ACE Spaces wanted all of it in one place.
Everything ran on spreadsheets. Nobody had a live view of which cabin was free, held or booked. Agreements were typed by hand and chased over email and WhatsApp, walk-in payments were checked manually, and Zoho Books invoices had no link to the sales side.
Leads capture what a coworking enquiry really needs: requirement type, preferred centre, seats, budget, move-in date, site visit and follow-up dates, lost reason and the ad campaign that brought them in. The deal pipeline follows ACE Spaces' own sales steps, and each stage asks only for the fields that matter at that point.
Seats, price per seat, start date, lock-in, deposit and assigned cabins are enforced with layout rules, not a rigid blueprint, so the team keeps its flexibility.
A deal cannot reach Agreement Signed or Closed Won without a signed agreement, from Zoho Sign or an uploaded offline copy.
No extra modules. Existing clients sit at the Clients stage with their cabins linked, so enquiry, onboarding, agreement, cabins and invoices live on one record. Existing clients were migrated from the member portal without duplicating contacts.
Total amount is worked out from seats and price per seat by a workflow, so nobody types it twice.
A custom Cabins module holds every space with its number, type, seats and status. On top of it sits a floor plan web tab drawn from the architect's layout. Every cabin is colour-coded live, shows its seats and the client's name on hover, and can be assigned, held or released straight from the plan. Link a cabin to a deal and it turns Booked. Unlink it and it is Available again.
Click a cabin or pod for details. Zoom with the buttons, drag to pan. Client names are masked on this page.
A Send Onboarding Form button on the deal emails the client a pre-filled form, or copies a WhatsApp-ready link. The client fills in company details, signatory, GSTIN, PAN, billing address, seats, start date and preferred cabin, and uploads KYC documents.
The Send Agreement widget builds ACE Spaces' own lease agreement from the deal: cabins, seats, rent with GST, deposit, lock-in, term and dates, with a picker to choose cabins live. The team previews, edits, downloads and sends it for e-signature.
Zoho Sign webhooks do the updating. Nobody moves the stage by hand or uploads the signed copy.
Deal 360 is a visual, inline-editable view of a deal: a clickable stage tracker, rent and agreement cards, commercials, contact, notes, cabin picker, onboarding status and Send Agreement, all in one popup. It matches the ACE Spaces member portal look and works in the Zoho CRM mobile app.
Three public booking forms, for Day Pass, Week Pass and Meeting and Conference Room, calculate the price with GST live, show UPI payment details, and collect the payment screenshot, UTR and KYC.
Digiwah set up ACE Spaces' accounting in Zoho Books and connected it both ways with Zoho CRM. Finance works in Books, sales works in CRM, and both see the same customers, invoices and payments.
Sales can see a client's balance due and payment status without opening Books.
First enquiry to signed client to invoice, on one record.
A floor plan instead of a spreadsheet.
Client details and KYC collected online, straight into the deal.
Generated, e-signed, and the CRM updates itself on signature.
Daily reminders and one dashboard for the team.
Zoho Books and Zoho CRM see the same numbers. Walk-in bookings are invoiced in one click.
Yes. For ACE Spaces, Digiwah built a custom Cabins module and a live 2D floor plan inside Zoho CRM. Each cabin is colour-coded as Available, On Hold, Booked or Cash, and its status changes automatically when it is linked to or unlinked from a client deal.
A Send Agreement widget generates the lease agreement from the deal's cabins, rent, deposit, lock-in and dates, then sends it through Zoho Sign. The client signs first and the operator countersigns. Zoho Sign webhooks move the deal stage and attach the signed PDFs automatically.
Yes. Digiwah connected Zoho Books and Zoho CRM both ways. Invoices, payments and customers from Books flow into CRM with the invoice PDF on the right deal, and new clients can be pushed from CRM to Books with their GST details in one click.
Yes. Public booking forms collect the payment proof and KYC, each booking lands in a CRM Bookings module for verification, and one button raises the GST invoice in Zoho Books with CGST and SGST or IGST chosen automatically.
About six weeks, from September to October 2026, built on ACE Spaces' existing Zoho One subscription with no extra third-party software.
Leads, cabins, agreements, bookings and accounting, connected. We build it around how you already sell, and stay until your team owns it.
